Step-by-Step Guide

1️⃣ Adding a Team

  • 👥 Add a Team: Click the Team button in the toolbar to create a new Team section on the canvas.

  • 📝 Provide Team Details: Name your team and include a brief description outlining its role and responsibilities within your processes.

2️⃣ Adding and Managing Roles

  • 👤 Create a Role: Select the Role icon from the toolbar to add a new role to your team canvas.

  • Assign Team Members: Use the "+" icon next to the People dropdown in the right sidebar to assign existing team members to the role. You can assign multiple people to the same role as needed.

  • ✏️ Edit Role Details & Add Notes: Use the sidebar to define the role’s name, description, and supporting notes. You can include documentation, links, or visual references—plus upload PNG images and PDF files directly into the Notes to share org charts, training docs, or role-specific diagrams.

  • 💰 Assign Hourly Rates: Enter hourly rates directly in the role's sidebar for precise cost tracking across your workflows. For more information, explore our Step Cost Calculator guide.

  • 🌐 Track Role Contributions: The sidebar clearly lists every step the role participates in, providing immediate visibility into workflow contributions. Click on any listed step to navigate directly to its location.

3️⃣ Labeling Connectors Between Roles

You can add labels to the lines (connectors) between roles to describe the relationship, interaction, or dependency between them.

💡 Example Use Case: Label a connector from "Head of Finance" to "Financial Analyst" as "Budget Reporting" to clarify how financial data flows up the chain for strategic decisions.

How to Add or Remove Connector Labels

  • Click on the connector line between roles

  • Enter your custom label to describe the relationship

  • To delete a label, simply clear the text from the connector

💡 You can also delete the connector itself as usual by selecting the line and pressing the 🗑️ icon, keeping your Teams Canvas clean and organized.

4️⃣ Deleting a Team or Role

  • Delete Team/Role: Click the 🗑️ icon located at the bottom of the right sidebar to remove a team or role.

📊 Monitor Contributions Regularly: Frequently review the Summary of Contributions in the sidebar to clearly understand each role’s impact, helping you make informed team decisions.
