Modern teams deserve modern access management. Puzzle’s new organization-based structure introduces a powerful upgrade to how you manage users, giving you greater control, visibility, and flexibility across every Workspace you own.
This shift eliminates fragmented user invites and siloed workspaces. Whether you’re a fast-moving startup, an agency managing multiple clients, or fractional operator juggling internal systems, this update makes managing your team across Workspaces smarter, faster, and more scalable.
🧭 What’s Changing — and Why?
🚫 Old Structure:
Previously, Puzzle required you to invite users individually to each Workspace. That meant if a teammate needed access to three Workspaces, you had to send three separate invites. As teams grew, this model created confusion, duplication, and access gaps.
✅ New Structure:
Now, Workspaces live within a central container called an Organization. You can invite users once at the Organization level and grant them access to any (or all) of your Workspaces. This change supports better visibility, reduces setup work, and unlocks future collaboration features.
🧩 What Is an Organization?
An Organization is your team’s new home base in Puzzle. It contains all of your Workspaces and gives you one central place to:
Invite and manage users
Assign permissions across Workspaces
View your team’s footprint
💡 Think of the Organization as the umbrella under which your entire Puzzle setup now lives — and grows.
💡 Benefits of the New Structure
✅ Simplified User Management: No more repetitive invites. Invite users once and grant access across Workspaces easily.
🛠️ Cleaner Permissions: Roles and access are easier to audit and manage from one central place.
🚀 Designed to Scale: Whether you’re managing one Workspace or twenty, this structure grows with you.
🧑💼 Built for Modern Teams: Supports cross-functional collaboration, agency-client models, and flexible operations.
Transition Checklist: Understand the Changes and Prepare Your Workspace
As Puzzle moves to an Organization-based user model, here’s what to expect — and how to prepare if needed:

Most users won’t need to take any action. During the transition:
Every Workspace you own will automatically be grouped under your new Organization.
Existing users will maintain access only to the Workspaces they were previously invited to.
No additional access will be granted unless you assign it at the Organization level.
🧑💼 People Canvas: More Flexibility
🧑💼 People Canvas: More Flexibility
The People Canvas now allows you to add People Cards as visual role references within a Workspace — even if those individuals haven’t been formally invited.
This gives you more control to plan team structure and responsibilities without affecting user access.
✅ Optional: Prep Steps for a Clean Migration
✅ Optional: Prep Steps for a Clean Migration
Want to keep your Workspace structure tidy from the start? We recommend these steps:
Step 1: Confirm Workspace Ownership
Go to each Workspace’s settings and ensure the correct team member is listed as the owner.
Step 2: Reassign Ownership (if needed)
If someone else (like your operations lead) manages your Puzzle plan, transfer Workspace ownership to them so that all workspaces consolidate under a single Organization.

⚠️ No Time to Prepare? No Problem.
Even if you don’t take these steps now, you’ll still be able to move and reorganize Workspaces using new tools after the migration goes live.
👥 How to Invite Users in the New Organization Model
With the new Organization-based structure, managing user access is simpler and more scalable. Instead of inviting someone to each Workspace individually, you can now invite them once at the Organization level and assign their access in one streamlined flow.
Follow the steps below to add new teammates efficiently:
1️⃣ Go to the Organization Sidebar
Click on your Organization name in the left sidebar to open the admin view.
2️⃣ Open the People Tab
Here you’ll see a list of all users currently in your Organization.
3️⃣ Invite a New User
Click the “+ Invite” button to add a new teammate. Choose their default role (Editor, Viewer, etc.).
4️⃣ Grant Workspace Access
Assign the user to one or more Workspaces — no need for multiple invites across projects.
✅ Done!
Your teammate now has seamless access to the right Workspaces, all managed from one central hub.
