Managing multiple workflows within a single canvas can quickly become overwhelming. Without a structured way to separate processes, teams often struggle to keep track of different projects, departments, or workflow stages. Puzzle’s new Tabs feature solves this by allowing you to organize your workflows across multiple canvases, making navigation smoother and improving overall workspace clarity.

With Tabs, you can categorize workflows by department, separate current and future state processes, or archive older workflows while keeping everything interconnected. This guide will walk you through how to create, manage, and optimize Tabs to enhance your workflow efficiency.

Key Benefits of Using Tabs

📂 Improved Workflow Organization: Structure workflows across multiple tabs instead of cramming everything into one canvas.

📊 Better Categorization: Separate workflows by department, project type, or archived processes for a cleaner workspace.

🤝 Enhanced Collaboration: Organize workspaces so teams can focus on relevant processes without distraction.

🔗 Powerful Process Connectivity: Use Go-To Steps to link workflows across tabs for a seamless navigation experience.

🌍 Optimized Public Views: Keep shared views focused by only displaying relevant sections and tabs.

Step-by-Step Guide: How to Use Tabs

1️⃣ Create and Rename Tabs

  • 🖥 Open your Workflow Canvas and look at the bottom of the screen to view your current tabs.

  • ➕ Click the plus icon to add a new tab — it will appear as "Tab 2" by default.

  • ✏️ To rename a tab, click the down-arrow next to the tab name and select Rename, then type your preferred title (e.g., Finance, Customer Journey, Future State) and press Enter.

2️⃣ Manage and Organize Tabs

Organize your tabs with flexibility using the following options:

🔃 Reorder Tabs

Drag and drop tabs left or right to change their position within the canvas — just like rearranging sheets in a Google Doc.

🌀 Duplicate Tabs

Need to see before and after process version, an alternate vision, or a departmental copy? Click the down-arrow next to a tab and select Duplicate to instantly clone an entire tab, including all its steps and layout.

⭐ Set a Default Workflow Tab

Go to Workspace Settings > Workflow Settings, and select your default tab.
Each team member can choose a tab they want to land on when opening Workflows (e.g., Sales rep → Lead Gen tab).

🗑️ Delete Tabs

To remove a tab entirely, click the down-arrow > select Delete Tab.
⚠️ This action removes all content within that tab.

3️⃣ Moving Steps or Sections Between Tabs

  • 🖱 Select the Step or Section you want to move.

  • 📁 In the quick action menu, click the Move (Folder Icon).

  • 📜 A modal window will appear listing all available tabs.

  • 🎯 Select the destination tab, and the step or section will be moved instantly.

📝 Note: Bulk-moving multiple sections isn’t available yet but will be coming soon!

4️⃣ Using Tabs in Public Views

Puzzle Tabs work seamlessly with Public Shareable Views, ensuring that only relevant workflows are visible when sharing processes externally.

  • 📂 Open the Public/Shareable Views menu.

  • 👉 Click "New View" or select an existing one to edit.

  • 📝 In the popup, fill out your View Name, description and select the sections you want to include—sections from different tabs can be added here.

  • 🌐 When users access the public link, they’ll only see the tabs and sections you selected, providing a clean, focused experience.

🔹 Example: If you create a public view for Sales Processes but include a section from Lead Generation in another tab, both relevant tabs will appear in the shared view.

🧠 Strategic Use Cases for Tabs

Tabs give you a flexible way to structure and navigate your workflows. Here are smart ways to apply them:

  • Current vs. Future State – Separate live processes from upcoming or proposed flows for clear visibility over time.

  • By Team or Department – Create focused tabs for Sales, RevOps, Product, Finance, HR, etc., so each team can easily access their own workspace.

  • Archived Workflows – Move outdated or inactive processes into an “Archive” tab instead of deleting them, so they’re accessible without cluttering your main workspace.

  • Side-by-Side Comparisons – Duplicate a tab to show “Before & After” versions of a process or to propose alternate paths (ideal for strategy reviews).

💡 Example Company Tab Layout:

  • Tab 1: Demand Generation

  • Tab 2: RevOps

  • Tab 3: Product Development

  • Tab 4: Finance & HR

Puzzle Tabs vs Alternative Diagramming Tools

Unlike competitors such as Miro, Whimsical, or Lucidchart, Puzzle’s Tabs are designed to be deeply interconnected.

In traditional mapping tools, tabs function as isolated canvases with no way to link processes between them. In Puzzle, however, the Tabs and Go-to-Step features allow you to create highly interconnected workflows, ensuring that users can seamlessly jump between related processes.

Best Practices & Tips for Using Tabs

🔖 Use Clear Names & Organized Structure: Label tabs clearly and group them by function (e.g., Marketing, Finance), timeline (e.g., Current vs Future), or audience (e.g., Internal, Client View).

🔁 Reorder or Duplicate Tabs for Flexibility: Drag to rearrange tab order for easier navigation. Duplicate tabs to build variants like before/after comparisons or department-specific flows.

📁 Move Content Across Tabs: Use the Move (📂) option to shift steps or sections between tabs and keep workflows organized as they evolve.

🌍 Curate Tabs for Public Views: Only include relevant tabs when sharing externally to keep views focused and easy to understand.

🎯 Separate by Perspective or Use Case: Create tabs for Employee Experience, Customer Journeys, Automations, or Cross-Functional processes for cleaner visibility and focused reviews.

Conclusion

Puzzle’s Tabs feature is a game-changer for workflow organization, allowing you to break free from a single-canvas constraint and create structured, categorized, and connected workflows. Whether you’re optimizing team collaboration, simplifying navigation, or enhancing public views, Tabs offers the flexibility you need.
